STEP 1: UNDERSTANDING THE F2F PARADIGMThinking F2F is often difficult for organizations that have invested enormous resources in information technology to solve their communication problems. Step 1 requires all senior managers to be engaged in a paradigm discussion where they can explore how to think differently about what it means to communicate effectively and the real value of face-to-face. STEP 2: DIAGNOSING AND MAPPING THE PROBLEMUsing unique investigative tools, F2F Systems clearly identifies where and how communication is breaking down. Communication errors occur either at initiation, in the transmission process or in the literacy of the receivers. More often than not the error is a combination of all three. Diagnosing and Mapping the communication problem is the critical first step to solving the communication problem and improving business performance results.
STEP 3: F2F LITERACY CAMPAIGNOnce the managers have committed to an F2F-CM System it is time to bring everyone else into the game. STEP 4: SET UP A PROJECT MANAGEMENT TEAMNow it’s time to begin building an integrated F2F-CM system. But first, it’s critical to pull together a competent team to project manage the process. The Communications Project Team will consist of 6 or more people from across the organization – a multi functional, multi level team works best to provide input from a diversity of functions, positions and locations. STEP 5: CUSTOMIZING THE F2F-CM SYSTEMOnce the project team is firing, they will use both the initial diagnostic data and proven project management methodologies and concepts to develop, execute and close out a tailored F2F-CM system. The F2F system will be tailored to meet the unique geographical and demographical structures of the organization. The overall goal is to ensure 100 percent of the workforce receives F2F communication on the key issues, strategies and policies of the organization within an agreed timeframe.
STEP 6: BUILDING THE IMPLEMENTATION SKILLSA crucial stage in the building of any F2F-CM system is the training of those people who will ultimately become the transmission agents. These people will be charged with the responsibility of communicating effectively with their peers. F2F Systems provide half-day training programs that give transmission agents the necessary skills to ensure all of them understand the process and know how to deal with the questions, objections, doubts, anxieties and concerns that will initially be raised. STEP 7: SYSTEM ROLLOUTVery rarely does the first iteration work smoothly because both the elected transmission agents and the receivers lack the necessary experience. The required experience will come with time, so perseverance is critical to ensure long-term system success. Moreover, the alignment of face-to-face with new CM protocols always adds to potential problems. It may take a few iterations to get it right but the problems can be minimizes with F2F Systems coaching.
STEP 8: REGULAR INDEPENDENT AUDITSProbably the most crucial element of any quality system is the way it is audited and how recommendations for improvement are followed. F2F Systems offers a proven auditing process to ensure any problems with any new communication system is quickly identified and appropriate response determined.
